Page Break Preview (Interface)

Shows blue lines where pages will split, and lets you drag those lines to change where they fall.

Move the Page Breaks Yourself

When a report splits three columns onto a second page, Page Break Preview lets you drag the split rather than fight with scaling settings.

  1. Blue lines appear — Where the pages split
  2. Drag a line — The break moves
  3. Excel rescales — To fit what you asked for

How to do it

View tab ▸ Workbook Views ▸ Page Break Preview or the right hand view button

Solid blue lines are breaks you set. Dashed blue lines are breaks Excel worked out itself.

View ▸ Page Break Preview ▸ drag the blue line to the right

Result: Drag it

Drag a break too far and Excel shrinks the print until it is unreadable. Watch the scale.

Do this

  • Drag breaks to control where pages split
  • Watch the scaling percentage as you drag
  • Return to Normal when finished

Avoid

  • Dragging so far the print becomes tiny
  • Confusing manual and automatic breaks
  • Leaving the file in this view for others
📌 Dragging a break outwards makes Excel shrink the print to fit, so watch the scaling percentage.

Practice

Quick quiz: You drag a page break far to the right to fit more columns. What does Excel do?
  • Prints the extra columns at full size anyway
