Closing a Workbook vs Closing Excel
Ctrl + W closes one file. Alt + F4 closes Excel entirely. Knowing the difference saves accidents.
One File or the Whole Program
Closing a workbook leaves Excel running with your other files open. Closing Excel shuts everything. The two shortcuts sit right next to each other in muscle memory.

- Alt + F4 — Closes Excel entirely

How to do it
Ctrl + W = close this file Alt + F4 = close Excel and every file in it
Both prompt you to save if there are unsaved changes, but only once per file.

Get into the habit of Ctrl + W. Alt + F4 closes everything, including work you forgot about.
Do this
- Use Ctrl + W to close one file
- Save before closing anything
- Check for unsaved files before Alt + F4
Avoid
- Pressing Alt + F4 and closing everything
- Dismissing the save prompt too quickly
- Assuming the X only closes one file
📌 The X on the title bar closes Excel when only one file is open, but only that file when several are.
