Pinning a File to Recent
Pinning locks a file to the top of the list so newer files can never push it off.
Your Own Shortlist
The Recent list keeps changing as you open new files. Pinning holds a file at the top permanently, so a file you use daily is always two clicks away.
- Hover the file — A pin icon appears
- Click the pin — It moves to Pinned
- Click again — It unpins
How to do it
Ctrl + O ▸ Recent ▸ hover the file name ▸ click the pin icon
The same trick works on folders. Pinned items sit under a Pinned heading above Recent.

Result: Always on top
Pin three or four daily files. More than that and the list is cluttered again.
Do this
- Pin the files you open every day
- Pin the folder as well as the file
- Unpin anything you have finished with
Avoid
- Pinning twenty files at once
- Moving a pinned file to another folder
- Expecting pins to follow you to another PC
📌 A pin saves the file's location, not a copy. Move or rename the file and the pin breaks.
Practice
- Pin the workbook you use most often.
- Pin the folder it lives in.
- Unpin something you no longer need.

Unpin the old entry, open the file from its new place, then pin it again. — A pin is just a saved path. Move the file and that path points nowhere.
