Select All with Ctrl + A
Ctrl + A selects your block of data. Press it twice and it selects the entire worksheet.
Once for Data, Twice for Everything
Ctrl + A is clever. Inside a block of data it selects just that block. Press it again and it widens to the whole sheet.
- Press once โ Selects the current data block
- Press twice โ Selects the whole sheet
- Or click the corner โ The box above row 1
How to do it
Ctrl + A or click the small triangle above row 1 and left of column A
The data block ends at the first completely blank row and column, which is why blank rows are a problem.
| Item | What it does |
|---|---|
| Ctrl + A once | The surrounding data block |
| Ctrl + A twice | The entire worksheet |
| Corner box | Whole sheet in one click |
| Ctrl + Shift + Space | Same as the whole sheet |
What Ctrl + A Grabs
Ctrl + A โธ the current block Ctrl + A again โธ the whole sheet
| Where the cursor is | One press selects |
|---|---|
| Inside a data block | That whole block |
| On an empty cell | The entire sheet |
| Inside a Table | The Table body |
| Pressed twice | The entire sheet |
Result: Press twice
If it selects too little, look for the blank row that is splitting your data.
Do this
- Press once for data, twice for everything
- Use the corner box when your hands are on the mouse
- Check for blank rows if it selects too little
Avoid
- Assuming it always selects the whole sheet
- Leaving blank rows inside a data block
- Formatting the entire sheet by accident
๐ If Ctrl + A grabs less than you expected, there is a blank row or column inside your data.
Practice
- Press Ctrl + A inside a data block.
- Press it again and see the difference.
- Add a blank row and watch the block shrink.
Quick quiz: You press Ctrl + A inside your data and only half the rows get selected. What is wrong?
- Excel is faulty
- There is a completely blank row splitting your data
- The file is too large
Show answer
